Event set-up: 

NETFLIX partnered with Discover Truenorth to work with their internal team of Event Specialists to build an engaging experience for their 2019 QBR and Corporate Offsite. A team of 900 NETFLIX Executives visited Iceland from around the world for the 5 day Iceland adventure, which included meetings at the awarded Harpa Concert Hall and Conference Center, 16 different activities and unforgettable evening events, each held at a unique venue. In addition to planning and producing the above, Discover Truenorth also managed all ground transportation and logistics between the 11 hotels, various venues and destinations in the program. The execution of the event was flawless with high praise from both attendees as well NETFLIX’s event team.

TRANSPORTATION

  • Hospitality desk at Keflavik International Airport with a 5-person meet and greet team for all arriving attendees.

  • 32 vehicles to cover over 450 separate arrivals with transfers from the airport to 11 different hotels.

  • Custom designed 6-route shuttle system covering transfers from all hotels during QBR program.

  • Afternoon transfers from Harpa Concert Hall and Conference Center to 16 different activities and then back to the hotels.

  • Hotel transfers to and from the evening events.

  • Over 450 separate departure transfers from the hotels to the airport.

QBR

  • QBR meetings took place at the stunning Harpa Concert Hall and Conference Center between 8am & 1:30pm over a two-day period during the program.

  • Breakout sessions were held separately in Harpa’s two largest halls, Nordurljos and Silfurberg.

ACTIVITIES

  • 16 Different activities varying from custom culinary experiences with celebrity chefs to hikes with Iceland’s first female Everest climber. Other tour activities included Whale Watching, riding ATVs and Mountain Bikes, soaking in the Blue Lagoon and much more.

  • 16 custom designed activity meet & greet stations complete with color-coding, branding, flags and hosts. Transfers either by coach, bikes, boats or on foot with all departures from Harpa at 2 pm.

  • 16 activity Guides on-board the coaches (1 for each activity) and a separate team of guides waiting on location for each activity.

WELCOME EVENT
- Held at Harpa Conference Center

  • The space was transformed into an Art Gallery for the event, showcasing selected works from Ragnar Axelsson, Photographer & PhotoJournalist.

  • 3x DJs entertained the guests.

  • Flower decorations designed to complement the colors of Harpa’s iconic glass facade.

UNDER THE MIDNIGHT SUN

- Evening Event in Videy Island

  • Videy island, off the coast of Reykjavik, was rented exclusively and made private for the event.

  • Theme and building of the set took the team over 1 week to complete with all material shipped over to the island by boats.

  • Transfers from mainland to Videy island by 2 boats transferring approximately 200 people at a time.

  • Ten outdoor food stations serving five different types of cuisine.

  • Five full service bars with special themed cocktails.

  • Lounge seating in multiple “glamping” tents as well as outdoor seating around bonfires.

  • Internationally known Icelandic musician Ásgeir Trausti performed for guests with a local DJ closing the night.

  • Viking themed photocall for every guest complete with stylists, wardrobe, props, and backdrop.

  • Photos printed on-site in real time and handed to each person after the photoshoot.

FIRE & ICE
– Evening Event at Reykjavik Art Museum

  • Reykjavik Art Museum built out to simulate the feeling of being in an ice cave while other areas had a volcanic fire theme.

  • Streets surrounding the venue were closed for the event and an upscale street-food fair was set-up surrounding the venue with tents and direct access from within the venue.

  • All five bars were custom built with an ice finish on the front in the ice themed event space.

  • Seafood buffet setting was made from large blocks of ice and the food was arranged and displayed on top over a bed of crushed ice.

  • A large ice-sculpture was placed in the middle of the venue.

  • One of the two photocalls at the venue was a custom-made scented cold smoke/steam shower that created a feeling of stepping into a real ice-cave.

  • Iceland’s number one DJ entertained guests throughout the entire evening.
